Email Frequently Asked Questions

Main Content

The following are questions and answers regarding the email transition on Dec 19, 2011 for students who entered the law school before fall 2011. All email goes to Duke webmail (http://mail.duke.edu)

Question: Why is this change being made?
Answer: It is part of a larger plan to make Duke email accounts more useful for students. Exchange is the industry standard email system, and we would like students to be able to use it for email, calendaring and contact management.

Question: Why now?
Answer: It is difficult to make any change to email, but between the semesters means that the immediate impact will be smaller.

Question: Who is affected?
Answer: All students who are affected were emailed the morning of Dec 19. Some students were separately emailed to say that they were excluded from the change; there were several reasons for this, but all related to the logistics of the change.

Question: I can't log into Exchange. What do I do?
Answer: This is usually because the password on your netid is too old to be imported into Exchange. You should go to: http://oit.duke.edu/selfservice and do two things. First, be sure to set your challenge and response questions; these will allow you to have your password reset remotely. Second, change your password. We recommend only changing the password during business hours in case you experience difficulties. After you change your password, check to make sure it is working by signing out of the self-service site and logging back in. If that is successful, try Exchange again. If you are still unable to log into Exchange, your account may need to be checked by Duke's Office of Information Technology (OIT). Call the Academic Technologies' help desk (613-7072) or the OIT service desk for assistance (684-2200).

Question: I can log in, but I don't see any email.
Answer: If you were notified that the change was happening the morning of the 19th, then you should have at the least an email from Wayne Miller. If not, please contact Academic Technologies' help desk (613-7072). OIT will need to check how email is being routed. It would be useful to know if email is still being received at http://webmail.duke.edu .

Question: I don't log into Duke mail; I use only (Gmail, Yahoo email, etc.). But I'm not seeing any email. What do I do?
Answer: You need to log into Exchange and set up forwarding using the document linked here. [We have had a report that a rule that deletes after forwarding doesn't forward successfully; if you experience that, remove the delete function from the rule.]

Question: I would like to use Outlook for both my Duke account and for my other account (Gmail). Can I?
Answer: In most cases, you can. We have instructions on how to set up Gmail. Most email accounts support IMAP, and this Web page provides instructions on how to configure an IMAP account; where the instructions provide Duke information, you will need to substitute in the server settings for your email account.

Question: I would like to use Outlook, but I don't have it. How can I get it?
Answer: You can download the most recent version of enterprise Microsoft Office for both Mac and Windows. Please see our Microsoft license page for more information.

Question: I have my mobile device set up to get email from Dukemail. Will that still work?
Answer: You need to update your device to access Exchange. For most mobile devices, you would set up an ActiveSync or Exchange connection. See this page from OIT for an explanation of how to configure your device. The Academic Technologies help desk can provide advice as well (613-7072).

Question: I would like to use my netid address, but Exchange shows my Duke email alias instead. How do I change that?
Answer: You may be able to change your preferred email alias in ACES.

Question: I don't like my Duke email alias. How do I change that?
Answer: You can change your alias by going to Duke Online and logging into "Change your email alias."

Question: I don't like my Display Name. Can I change it?
Answer: You can change your display name here: https://mail-filter.oit.duke.edu/exchange_preferred_displayname.

Question: How do I get my old email messages from Dukemail into Exchange?
Answer: You don't need to move them. With most email clients, you can set the client to access more than one account at a time. Go to this page to find instructions on how to access your Exchange account, and then go to this page to set up the other account. Once you have both accounts set up, in most cases you can just copy messages from one account to another.
